With approximately 70 imaging systems supporting more than 200,000 scans annually, managing equipment quality control (QC), maintenance, and regulatory documentation is no small task.   As the department's equipment fleet and patient volumes grew, so did the challenges of maintaining consistent QC processes and keeping critical equipment information organized and accessible. For medical physicist Shauna Burke and her colleagues, the need for a more centralized, sustainable approach became clear.   Today, the team uses [**RadMachine**](https://www.radformation.com/radmachine/radmachine) to streamline diagnostic QA, automate image analysis, and bring equipment records and maintenance tracking together in one accessible platform. ### A more connected approach to diagnostic QA Before implementing RadMachine, Mater's Medical Physics team relied on Excel spreadsheets, with different QC templates for each imaging system. The team tracked equipment faults and maintenance records separately using legacy custom-built software that was no longer actively maintained. As the department expanded, managing these disconnected systems became increasingly difficult.   "Over time, the lack of version control, the siloing of data in different shared drives, and the manual work required to maintain these spreadsheets were leading to unnecessary data duplication and administrative burden," Shauna explains.   The team needed a solution that could centralize equipment information, support consistent QA practices, and accommodate the department's diverse imaging systems. RadMachine stood out for its vendor-neutral design, customizable test lists, cloud hosting, and dedicated customer support. Equally important was its ability to integrate the team's existing Python-based image analysis scripts. ### Streamlining QC through automation One of the most significant improvements has been the team's ability to incorporate automated image analysis directly into its RadMachine QC workflows. With RadMachine, the team can apply consistent test-list templates across imaging systems and integrate image-analysis scripts directly into their QC workflows. This approach simplifies test management while reducing the manual effort required to maintain and execute QA processes.   “We have our image analysis scripts built into RadMachine, so we can upload the images to the platform, and results are generated automatically," says Shauna.   Transparency was another important consideration. RadMachine's integration with open-source pylinac image analysis tools gives the team access to detailed documentation and source code, providing confidence in how automated results are generated. "If we're using an automated image analysis tool, we like to know exactly what's on happening under the hood," Shauna notes. ### Improving communication across the radiology department Beyond QC automation, one of the team's most valuable workflow improvements comes from RadMachine's Service Events functionality, which streamlines communication among radiographers, Radiography service Managers, and Medical Physics staff.  When a radiographer identifies an equipment issue, they can log a Service Event directly in RadMachine. Automated email notifications alert Medical Physics and other key staff, while a custom weekly report summarizes active and upcoming Service Events. This shared visibility helps ensure that equipment issues are communicated, monitored, and addressed collaboratively.   "Radiographers can log an equipment fault, and they know that Physics will see that there's an issue with equipment, and we can support them so they can focus on the patients in front of them," Shauna explains. For the Mater team, the impact extends beyond more organized records. The platform has helped strengthen communication and collaboration throughout the Radiology department. ### Simplifying regulatory compliance Maintaining complete, accessible documentation is essential for a hospital that operates a large fleet of imaging equipment. With RadMachine, Mater's team can more easily demonstrate compliance during regulatory inspections by accessing centralized equipment inventories, QC results, and maintenance histories. The reporting functionality allows the team to quickly generate equipment inventories and QC histories for individual systems, making it easier to retrieve the documentation needed for inspections.  While the team is still early in its RadMachine journey, Shauna says these capabilities have already made regulatory documentation easier to manage. ### Building a foundation for long-term success Implementing a comprehensive diagnostic QA platform required thoughtful planning and an initial time investment. The Mater team dedicated its first year to developing QA programs, creating test lists, and migrating equipment inventory into RadMachine. Throughout the process, Radformation's Clinical Success team provided guidance and support. Shauna credits the Clinical Success Team for helping the team navigate the implementation and develop workflows suited to its needs. "It was evident that they were very knowledgeable not only about RadMachine, but also about how to make the system work for each user's needs," Shauna shares.   Her advice to other departments considering a similar transition is to plan carefully, involve clinical staff early, and take advantage of the available support and documentation. "RadMachine  pays off  massively in the long run in terms of time saved, ease of compliance, and long-term maintainability." ### Creating more time for what matters For Shauna and the team at Mater Misericordiae University, automation's value goes beyond reducing manual tasks. It enables medical physicists to apply their specialized knowledge where it matters most.
