Machine QA Doesn't Have to Start From Scratch: Introducing RadMachine Template Manager

Every medical physicist knows what it's like to onboard a new linear accelerator or overhaul an existing quality assurance (QA) program. Historically, this process has meant navigating a complex maze of software configurations, building out spreadsheets, and manually mapping out clinical requirements. It creates an administrative burden, prolongs implementation timelines, and can leave teams worried they might miss a critical test or protocol dependency.

To simplify the startup process, we have introduced RadMachine Template Manager: a new guided onboarding workspace designed to help physics teams establish and assign standard QA workflows faster, more consistently, and with greater confidence than ever.

A smarter way to set up standard linac QA

Template Manager provides a structured, guided experience within the RadMachine platform. By offering focused parameters for QA processes commonly encountered in the clinic, it streamlines your setup process from day one.

Instead of building every test list and dependency from scratch, Radformation provides ready-to-use, prebuilt templates for AAPM TG-142 (daily, monthly, and annual) and TG-51 guidelines. The initial templates are tailored for C-arm accelerators, though the underlying TG-142 and TG-51 testing standards apply to other machines as well, with some exceptions.

How it works

The onboarding workspace simplifies the entire configuration process into a single, intuitive workspace:

  1. Specify Your Equipment: Fill out a few simple form fields to match your facility’s specific units, clinical devices, and active beam energies.

  2. Select Your Protocol: Choose your standard clinical guidance documents, such as TG-142 or TG-51. Clear visual indicators immediately show your protocol coverage, giving you instant confidence that you haven't missed any required tests.

  3. Auto-Assign & Standardize: With just a few clicks, the system maps related templates and required dependencies, instantly deploying the complete QA workflow to your specified machine.

If you manage a fleet of linear accelerators, the manual work is reduced even further. You can set up a template for one machine and use the "Copy to Other Units" tool to propagate those configurations, tolerances, and reference baselines to other units in your RadMachine instance.

The "best of both worlds" philosophy

One of the most common concerns physicists have when adopting templated software is the fear of being locked into a rigid, "black-box" system. Template Manager doesn't replace RadMachine's flexible, open-ended configuration tools; it complements them by pairing uniform automation with full clinical versatility.

  • Standardized Simplicity: Use Template Manager to rapidly deploy standard, protocol-aligned daily, monthly, and annual linac test lists as well as site-specific protocols.
  • Absolute Customization: For non-standard machines, custom calculation procedures, or advanced Python scripting integrations, RadMachine's traditional editing suite remains fully available. You can seamlessly use Template Manager for your standard core program while supplementing it with custom test lists.

Flexibility for enterprise fleets: standardize or customize at will

Managing QA across multiple facilities introduces challenges beyond initial setup. As you add equipment, protocols evolve, and responsibilities shift, physics teams need an efficient way to maintain oversight without repeatedly configuring workflows for each machine.

Template Manager helps reduce this administrative burden by making it easier to deploy established QA configurations across your fleet. With the “Copy to Other Units” tool, administrators can transfer verified test configurations, tolerances, and reference baselines to selected machines in just a few clicks. This simplifies onboarding new equipment, supports consistent QA practices across locations, and allows physics teams to spend less time on repetitive setup tasks and more time on clinical priorities.

Fast-Track Your QA Setup

At Radformation, we believe that automated quality assurance shouldn't require an overwhelming administrative hurdle to get started. By combining guided onboarding with the robust clinical analysis engine you already trust, RadMachine Template Manager helps your clinical team spend less time configuring software and more time focusing on patient care.
